Efficiency and Control – Caruna Transforms Its Invoicing Process with Ropo

When electricity distribution company Caruna launched a competitive tender for invoicing and receivables management services, the goal was to find a comprehensive and modern solution that would also support business development. The choice fell on Ropo, whose single-provider model met their needs and has proven highly effective in practice.

Caruna’s invoicing and receivables management operations were transferred to Ropo in September 2022. Ropo’s solution covers invoice delivery, reminder and collection services, payment-related customer service, and a comprehensive reporting and analytics tool that enables easy monitoring of invoicing and payment data. All services operate on a single technology platform, reducing silos and enabling a comprehensive view of different invoicing phases.

Caruna handles approximately one-fifth of Finland’s electricity distribution and delivers electricity to 740,000 customers across the country. The company sends around three million invoices annually. In the service tender, Ropo’s expertise and service scalability stood out particularly – the ability to meet the special requirements of the energy sector and manage large invoicing volumes.

Ropo One™ – One platform for invoice lifecycle management

“At the heart of Ropo’s invoicing solution is Ropo’s proprietary technology platform, Ropo One™, which integrates Caruna’s invoicing-related processes into a seamless workflow,” explains Ella Tuovinen, Key Account Manager at Ropo.

When Caruna has generated invoices in their own system, they transfer via interface to Ropo One™ and automatically progress through different processing stages – from invoice delivery to payment monitoring and, when necessary, payment-related reminder actions.

“The automated process reduces manual work, accelerates cash flow, and ensures that all statutory requirements are met,” Tuovinen summarizes.

Agile development with client focus

Ropo’s service model has brought Caruna significant benefits both operationally and strategically. The collaboration has increased transparency in invoicing processes, and different phases can now be monitored more precisely, which has improved process control and enabled quick response at an early stage.

According to Turunen, Ropo’s strong client focus and agile, solution-oriented approach have also supported continuous service development and created a strong foundation for long-term collaboration.

One concrete development step has been increasing the share of electronic invoices. Ropo has promoted digitalization by offering practical solutions that have increased the use of digital channels.

“When our collaboration began, our invoice digitalization rate was 63 percent, and now it has risen to 71 percent. This change has enhanced efficiency and streamlined the customer journey, as an increasing number of invoicing and payment stages are handled digitally,” Turunen explains.

Ropo OneView™ enhances financial management

Ropo’s service package also includes the Ropo OneView™ analytics tool, which operates within the Ropo One™ service. The tool provides Caruna with a clear view of the entire invoice lifecycle. At a single glance, users can easily get a real-time overview and identify deviations, enabling quick response.

“Ropo OneView™ is a highly functional tool for us. It helps us easily detect changes in payment behavior and anticipate payment delays or financial risks,” says Turunen.

Caruna also monitors the quality and volume of payment-related customer service through the service and is extremely satisfied with the results.

“Through the service, it’s effortless to ensure that Ropo’s customer service operates smoothly and meets our customers’ daily needs,” Turunen continues.

Joint development work continues – the goal is an even smoother service experience for Caruna’s customers throughout the entire invoicing process.
